Human Resources Administrative Assistant

Full time, HYBRID (1-2 days per week). 

About the Role

We are seeking a highly organized and detail-oriented Human Resources Administrative Assistant to support payroll, HR operations, and office administration. This role plays a critical part in keeping time-sensitive processes accurate, compliant, and running smoothly.

You will serve as an operational backbone for the People function, partnering closely with HR and leadership to ensure employee lifecycle processes, payroll coordination, and administrative workflows are handled efficiently and confidentially. Key Responsibilities

Payroll and Timekeeping Support

• Review and process timecard corrections to ensure payroll accuracy and timely submission

• Route PTO requests to supervisors for approval and track status updates

• Maintain organized and up-to-date timekeeping and leave records

• Ensure confidentiality and compliance in all payroll-related documentation

HR and Employee Lifecycle Support

• Support onboarding by preparing new hire documentation, scheduling orientation, updating systems, and coordinating welcome materials

• Conduct reference checks upon offer acceptance

• Assist with offboarding processes including exit documentation and internal notifications

• Organize and distribute performance review templates for bi-annual review cycles

• Maintain accurate and compliant employee personnel files



 

Office and Administrative Operations

• Manage calendars and coordinate meeting requests with clear communication and follow-through

• Pick up, scan, sort, and distribute incoming mail; coordinate courier and shipping needs

• Process employee product requests and onboarding supply shipments, maintaining tracking records

• Provide general administrative support to ensure efficient day-to-day operations

Events and Travel Coordination

• Plan and coordinate remote company events, including logistics and vendor coordination

• Arrange travel accommodations for employees as needed

IT and Systems Support

• Oversee and monitor the IT ticketing system, ensuring requests are routed appropriately and followed through to resolution

• Support basic employee system access coordination during onboarding and offboarding

 

Qualifications

• 1–2 years of relevant HR or administrative experience

• Strong attention to detail and organizational skills

• Ability to handle confidential information responsibly

• Comfortable using Google Workspace and basic spreadsheets

• Clear written and verbal communication skills

• Able to manage multiple tasks in a fast-paced, remote environment
